Terms of Service

1. Introduction

These Terms of Service ("Terms") govern your access to and use of SignOff ("the Service"), operated by Anna Kusiak-Johnsen (trading as SignOff), Kyrkogatan 19, 231 63 Trelleborg, Sweden ("we", "us", "our").

By registering for or using SignOff, you agree to be bound by these Terms. If you do not agree, do not use the Service.

These Terms apply to business users only. The Service is intended for tradespeople and small business owners acting in a commercial capacity, not consumers.

2. The Service

SignOff is a subscription-based software platform that provides:

  • Automated SMS review requests to your customers following job completion
  • AI-assisted drafting of responses to Google reviews
  • Automated follow-up messages for outstanding quotes
  • Customer, job, and quote management tools

The Service is delivered via signoffapp.io and requires an active internet connection. Features may change over time with reasonable notice.

3. Account Registration

You must provide accurate, complete, and current information at registration. You are responsible for maintaining the security of your account credentials. You must notify us immediately at hello@signoffapp.io if you suspect unauthorised access to your account.

Each subscription covers one business. You may not share account access with other businesses or resell access.

4. Subscriptions, Billing, and Free Trial

4.1 Free Trial

New accounts receive a 14-day free trial. No payment is taken during the trial. At the end of the trial, your account will automatically convert to a paid subscription unless you cancel before the trial ends.

4.2 Subscription Fees

Subscription fees are charged monthly in advance. Pricing is displayed at sign-up and in your account settings. We reserve the right to change pricing with 30 days' written notice.

4.3 Payment

Payments are processed by Stripe Inc. By subscribing, you authorise Stripe to charge your payment method on a recurring monthly basis. We do not store card details.

4.4 Refunds

Given the nature of digital services, we do not offer refunds for partial billing periods. If you cancel during a paid period, you will retain access until the end of that billing period.

4.5 Cancellation

You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of the current billing period.

5. Your Responsibilities and Acceptable Use

You agree that you will not use the Service to:

  • Send unsolicited messages to individuals who have not consented to receive communications from your business
  • Send messages in a way that violates UK PECR, GDPR, or any applicable privacy or marketing law
  • Solicit, generate, or submit fake, misleading, or incentivised reviews
  • Violate Google's review policies or any applicable platform terms of service
  • Upload or transmit malicious content, spam, or unlawful material
  • Attempt to reverse-engineer, copy, or resell the Service

You are solely responsible for how you use the Service in relation to your customers and your legal obligations to them.

6. Your Customers' Data — Your Responsibilities

When you add customer contact details to SignOff (names, phone numbers, email addresses), you are acting as the data controller under UK GDPR. SignOff acts as your data processor.

You confirm and warrant that:

  • You have a lawful basis to process your customers' personal data and share it with SignOff
  • Your customers have consented to, or have a legitimate expectation of receiving, SMS communications from your business
  • You will not submit the personal data of anyone who has opted out of communications from your business
  • You comply with all applicable data protection laws in relation to your customer data

SignOff will only use your customers' data to provide the Service on your behalf. We will never use it for our own marketing or sell it to third parties.

7. Data Processing Agreement

This section constitutes the Data Processing Agreement ("DPA") required under Article 28 of UK GDPR and EU GDPR. By accepting these Terms, you enter into this DPA with us.

7.1 Roles

You are the data controller. SignOff is the data processor. We process personal data only on your documented instructions.

7.2 What We Process

We process the following categories of personal data on your behalf: customer names, phone numbers, job details, and quote information that you enter into the Service.

7.3 Sub-processors

We use the following sub-processors to deliver the Service. By accepting these Terms, you authorise their use:

  • Supabase Inc. (USA) — database hosting and authentication. SOC 2 certified.
  • Twilio Inc. (USA) — SMS message delivery. Phone numbers and message content shared solely to deliver messages.
  • Resend Inc. (USA) — transactional email delivery — quote notifications and platform emails.
  • Anthropic PBC (USA) — AI-powered review response drafting. Does not use API data to train models.
  • Stripe Inc. (USA) — payment processing and subscription billing. PCI-DSS Level 1 certified.
  • Vercel Inc. (USA) — application hosting and infrastructure. All traffic transits Vercel servers.
  • Google LLC (USA) — OAuth authentication and Google Business Profile API access.
  • Sentry / Functional Software Inc. (USA) — error tracking and performance monitoring. Error reports may contain partial request context.

We will notify you of any material changes to sub-processors with reasonable notice.

7.4 Security

We implement appropriate technical and organisational measures to protect personal data against accidental loss, destruction, alteration, or unauthorised disclosure. These include encryption in transit and at rest, access controls, and regular security reviews.

7.5 Data Subject Rights

We will assist you in responding to data subject rights requests (access, erasure, portability) relating to your customers' data within a reasonable timeframe.

7.6 Breach Notification

We will notify you without undue delay upon becoming aware of a personal data breach affecting your customers' data, and will provide reasonable assistance in managing the breach.

7.7 Deletion on Termination

Upon termination of your account, we will delete or anonymise your customers' personal data within 30 days, unless retention is required by law.

8. AI-Generated Content

SignOff uses artificial intelligence (provided by Anthropic PBC) to draft suggested responses to your Google reviews. These suggestions are presented for your review and approval before posting. You are solely responsible for the content you choose to publish.

AI-generated content may occasionally be inaccurate, incomplete, or unsuitable. You should review all suggestions before use.

9. Intellectual Property

All rights in the SignOff platform, brand, and software belong to Anna Kusiak-Johnsen / SignOff. These Terms do not grant you any rights in the platform beyond the licence to use the Service during your active subscription.

You retain all rights to the data and content you upload to the Service.

10. Disclaimers

The Service is provided "as is". We do not guarantee that:

  • SMS messages will be delivered or that recipients will respond
  • Review requests will result in Google reviews being posted
  • AI-generated content will be accurate, complete, or appropriate
  • The Service will be available without interruption

We are not responsible for any decisions made by Google, Vonage, or other third-party platforms that affect the functionality of the Service.

11. Limitation of Liability

To the maximum extent permitted by law, our total liability to you in connection with the Service shall not exceed the amount you paid us in the three months preceding the claim.

We are not liable for indirect, incidental, consequential, or special damages, including loss of profits, loss of data, or reputational harm.

Nothing in these Terms limits liability for fraud, death, or personal injury caused by negligence.

12. Changes to These Terms

We may update these Terms from time to time. We will provide at least 14 days' notice of material changes via email or in-app notification. Continued use of the Service after the notice period constitutes acceptance of the updated Terms.

13. Termination

We may suspend or terminate your account if you breach these Terms, fail to pay, or if we are required to do so by law. We will provide reasonable notice where possible. Upon termination, your access to the Service will cease.

14. Governing Law

These Terms are governed by Swedish law. Disputes shall be subject to the exclusive jurisdiction of the Swedish courts, without prejudice to any mandatory consumer protection rights that may apply in your jurisdiction.
